What I do with your information.

Plain English, because you should not need a lawyer to read a privacy policy.

What I collect

If you fill in the form on this site, I collect your name, email address, business name, the type of business you run, your phone number if you choose to give it, and whatever you write in the message box. That is all. There is no account to create and no tracking or analytics running on this site.

Who else sees it

A few services handle information on my behalf:

FormSubmit receives what you type into the contact form and forwards it to my email. They are the delivery mechanism, nothing more.

Calendly handles scheduling if you book a call, and collects the name and email you give it.

Intuit runs QuickBooks Online, which is where client bookkeeping is performed and where client financial records are held. Vercel hosts this site and generates standard server logs, including IP addresses. This site also loads its fonts from Google Fonts, which means your browser makes a request to Google when the page loads. That is standard for most of the web, and I mention it because it is true.

What I use it for

To reply to you, and to do the work if you become a client. Nothing else. BooksSteady has one employee besides me, who works on client bookkeeping under the same confidentiality obligations I hold myself to. I do not sell your information, I do not rent it, I do not share it with anyone for marketing, and I do not add you to a mailing list you did not ask for.

Client financial information

If you send me statements or connect an account for a Business Health Review or for ongoing bookkeeping, that information is confidential and is used only to do your work. Bank connections are read-only: I can see transactions and I can never move money. You can disconnect at any time.

How long I keep it

Enquiries that do not become clients: I delete them from my systems within 30 days of the conversation ending. If you send statements for a free review and do not become a client, I delete those within 30 days of the review. FormSubmit and Calendly keep their own copies under their own policies, which I do not control. Client records: I keep them for as long as you are a client and for seven years after, as a matter of policy, to cover the periods during which tax authorities may examine them.

Getting your information removed

Email me at doug@bookssteady.com and ask. I will tell you what I have, and delete whatever I am not required to retain. No forms, no process.

Text messaging (SMS)

If you give me your mobile number, I may text you. It is me, or the one person who works with me, and it is about your books: a reply to something you asked, a reminder about a call, a request for a document I need to close your month, or a note that something is done. Never marketing. Your number is not shared with anyone. Reply STOP and it stops, reply HELP and you get me. The rest of this section is the standard language the carriers require, kept in their wording rather than mine.

Data Sharing

Customer data is not shared with 3rd parties for promotional or marketing purposes.

Mobile opt-in and consent are never shared with anyone for any purpose. Any information sharing that may be mentioned elsewhere in this policy excludes mobile opt-in data.

We do not sell, rent, transfer, or otherwise disclose consumer personal data or SMS consent data to any external organization for any purpose, except as required by law.

We maintain administrative, technical, and organizational safeguards, including restricted access and staff authorization controls, to prevent unauthorized sharing of user data.

BooksSteady Messaging Terms and Conditions

1. Message types. The messaging program consists of conversational and customer care messages to answer questions and provide support to customers. BooksSteady does not send marketing or promotional messages.

2. Message frequency. Message frequency varies.

3. Message and data rates may apply.

4. Opt-out. Reply STOP to cancel at any time. You can cancel the SMS service at any time. Just text 'STOP' to the phone number from which you received messages. After you send the SMS message 'STOP' to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us. If you want to join again, just sign up as you did the first time and we will start sending SMS messages to you again.

5. Help. For help, reply HELP to any message or contact support at doug@bookssteady.com or (901) 350-4009. If you are experiencing issues with the messaging program you can reply with the keyword HELP for more assistance.

6. Carriers are not liable for delayed or undelivered messages.

7. As always, message and data rates may apply for any messages sent to you from us and to us from you. Message frequency will vary based on communication needs. If you have any questions about your text plan or data plan, it is best to contact your wireless provider.
